Full-time Operations Assistant

International NGO Safety Organisation (INSO) is recruiting an Operations Assistant for Maputo.

Purpose of Role:

  • Operations Assistant is responsible for the day-to-day support of the Operations department (Administration, Human Resources and Logistics) for the Maputo head office and the field offices in the Cabo Delgado, Sofala and Manica regions.

Major Responsibilities:

Compliance:

  • Support organizing and validity of all paperwork including agreements, protocols, authorizations, permits licenses, and other documents as necessary for INSO’s activities and office registrations including notarization and certification of all country office paperwork on regular basis;

Human Resources:

  • Collect the paperwork and ensure all individual processes are complete and compliant for all staff;
  • Monitor probation periods, contract expiration dates, and prepare other HR documentation to support Operations Manager;
  • Ensure that HR files contain the mandatory documentation according to the internal checklist and local labor regulations;
  • Keep up to date HR online Database including employee profiles, leave & absence information as well as monthly tracking of all data.

Procurement & Logistics:

  • Monitor contracts and payment schedules for office rental, supply agreements, and service providers;
  • Support the offices with all purchase request, supplier due diligence and procurement procedures to ensure compliance to internal policies and donor requirements;
  • Keep up to date the approved supplier database including all information required per supplier;
  • Support all logistics and travel for staff both internally and externally;
  • Keep up to date the procurement number, asset registers, and fleet management documents, and more.

Requirements:

Essential:

  • Relevant Degree in Administration, HR, Accounts or, alternatively extensive experience in the area;
  • Advanced Portuguese and English language skills, both written and verbal;
  • Minimum 3 years of relevant work experience, preferably with NGOs;
  • High attention to detail;
  • Team management skills.

  • Open-mindedness and self-confidence;
  • Acceptance and understanding of humanitarian principles;
  • Strong ethics, with ability to manage confidential data;
  • High degree of autonomy.

Terms and Conditions:

  • 12 months renewable contract subject to funding and performance. Salary based on INSO grading scale.
